Privacy policy

Who we are
CYAN ONE is provided by CYAN Consultancy Services W.L.L., Doha, State of Qatar (“we”, “us”). Contact us about privacy at privacy@cyanqatar.com.
CYAN ONE is a workplace safety, quality and compliance tool. When a company uses CYAN ONE, that company decides what is recorded about its work; we process that information on the company’s behalf.
What we collect
- Account details: your name, email address, password (stored only as a secure hash), role and the company you belong to; optionally your mobile number if you choose to share it with your team.
- Work records you or your team create: inspections, observations, incidents, actions, toolbox talks, documents, photos and signatures, with the date, time and site.
- Public safety reports sent through a company’s QR code: the description, location and photo, and a name or phone number only if the reporter chooses to give them.
- Technical information needed to run the service securely: sign-in times, security events, device type and an anonymous device identifier used to link devices and protect accounts.
- Billing information for paying companies: plan, invoices and payment status. Card payments are handled by our payment provider; we never see or store card numbers.
The phone app works offline. Records and photos stay on your phone until you send them to your company workspace. The app asks for camera access only when you take a photo.
How we use it
- To provide CYAN ONE: store and show records, create reports, send notifications and keep the service secure.
- To support you when you ask for help, and to bill paying companies.
- To improve CYAN ONE using usage counts that do not reveal the content of your records.
We do not sell personal data, we do not use your records for advertising, and the CYAN ONE platform owner sees only usage counts for each company — not its reports.
Who can see your information
- People in your company, according to the roles and sites your administrator sets.
- Our service providers that host the service (data centre and backups) and process payments, under contract and only to provide CYAN ONE.
- Authorities, only where the law requires it.
Where it is stored and for how long
CYAN ONE runs on secure cloud servers with encrypted connections (HTTPS) and nightly backups. Records are kept while the company uses CYAN ONE, because safety and audit records often must be retained. When a company closes its account, its data is erased within 30 days, and backups expire within a further 35 days.
Your choices and rights
You can view and correct your details in the app, download reports, and delete your account at any time. You can ask us for a copy of your personal data, or to correct or delete it, by writing to privacy@cyanqatar.com. Work records you created for your employer belong to that company; after you delete your account they stay with the company shown as “Deleted user”. We handle personal data in line with Qatar’s Law No. 13 of 2016 on Personal Data Privacy Protection and other laws that apply.
Children
CYAN ONE is a workplace tool and is not intended for anyone under 18.
Changes
We will post any changes on this page and tell company administrators about important changes in the app.
